RACE chiefs will be expecting a visit from "the Palace" shortly to discuss the Queen's trip to Knavesmire when York holds Royal Ascot in 2005.

A council report reveals that, although nothing is yet set in stone, "an initial visit from The Royal Household is due shortly" to discuss Her Majesty's plans to attend the five-day feast of horse racing in 17months time.

The report, prepared by officers for members of City of York Council's ruling executive, also unveils tentative plans for an "Ascot festival", turning the city centre into a carnival for residents and tourists.

Written by Tony Bennett, assistant director of economic development, the report states: "This is a major, one-off event which, in addition to the economic and business benefits it will bring, offers wider opportunities to do something special for York people.

"The aim would be to make the event special for York people aswell as offering something to visitors creating a community atmosphere (and a safe environment)." Mr Bennett recommends that a cross-council group be set up to investigate the ideas further, which also include a programme of summer activities, special events at York attractions and providing activities to involve people with special needs.

Key city business bosses are expected to meet in the next few weeks to talk about how the city might achieve lasting benefit from Royal Ascot.

The report also reveals that the council is having discussions with York Racecourse on the issue of house renting during the festival.

Mr Bennett writes: "Some residents have expressed interest in letting out their properties. This is being discussed with York Racecourse to see if this can be coordinated in some way to enable local people to benefit." Elsewhere, the report indicates that the two-day June meeting, including Timeform Charity Day, which will be replaced by Royal Ascot, may be tagged on to later race days at York in 2005, while Ascot has been urged to present its traffic proposals to the council as soon as possible - so residents can be fully involved in discussions.
